Job/Position DescriptionClerk IIIClerk III Provides clerical support for the supervisor and the unit including such tasks as: typing material from rough draft, written or oral instructions; mail distribution; preparation of weekly report of worker production; accomplishment of filing assignments; providing client assistance by taking clear messages for agency staff, photocopying requested material, receptionist duties; and performing related tasks as assigned. Provides Clerical support for two CCSE UnitsEssential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. Communicates on a basic level with others (internally or externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve/report problems or complaints. (5%) Opens, dates, sorts, or distributes mail (for example, incoming/outgoing mail, reports, documents, printouts). (10%) Prepares and proofreads correspondence, forms, or other documents (for example, letters, memos, travel or purchase vouchers, job announcements) using a personal computer. (30%) Enters data into an automated system. (25%) Orders and maintains inventory of various items (for example, supplies, forms, furniture, and equipment). (5%) Prepares basic level ongoing or special narrative or statistical reports. (10%) Maintains confidential records, files, or logs (for example, administrative, personnel, contract, correspondence, forms, documents, purchasing, case files, tracking logs) including filing, retrieving, or purging. (15%)Registrations, Licensure Requirements or CertificationsValid driverand#146;s license and insurance is required. Knowledge Skills AbilitiesAbility to communicate in both English and Spanish languages. Knowledge of the English language sufficient to report casework and communicate with others in a professional manner. Knowledge of interviewing techniques to obtain personal information required for application. Ability to communicate verbally with clients/customers, contracted provider agencies, and the general public to gather information and/or explain policies and procedures. Ability to listen to clients/customers, contracted provider agencies, and the general public. Ability to prepare narrative, reports and correspondences in a clear and concise manner. Ability to establish priorities, set goals and manage time efficiently. Ability to establish and maintain effective working relationships. Ability to communicate both orally and in writing to include proper telephone etiquette. Ability to analyze, evaluate information and take the appropriate action. Ability to operate computer and general office equipment. Experience with Microsoft Programs and SharePoint. Ability to process request for services via Health and Human Services Enterprise Portal. Interviewing skills and knowledge of Long Term Care Services preferred. Initial Screening CriteriaEducation equivalent to high school or higher with experience that would indicate a general understanding of the knowledge, skills, and abilities needed to do the job. Experience interviewing and providing customer service. Experience and efficiency operating computer and phone equipment to complete data entry. Experience with Microsoft Programs and SharePoint.
